Privacy Policy

Updated and effective: 4 November 2026

This policy explains how the website of the UNESCO Chair on AI in Education at Beijing Normal University handles personal information related to website use. The BNU Chair project team maintains the website. Public browsing does not require registration. For privacy matters, contact unescochair.aied@bnu.edu.cn.

1. Scope

This policy covers information browsing, on-site resource searches and contact functions on this website. Yuanzhuo, EDUPX, other learning platforms, event registration systems and external websites have their own applicable notices. This policy does not replace those notices or authorise the collection of participant information for every activity.

2. Information and purposes

  • Access and security information: servers may record IP addresses, access times, requested addresses and browser information to deliver pages, maintain security and troubleshoot faults. Resource searches send search terms, filters and requested resource identifiers to the website. Do not enter identity documents, health details or other sensitive personal information in search boxes.
  • Information you send: when you contact the team by email, your reply address, enquiry and any name, affiliation or attachments you voluntarily provide are used to respond, investigate and handle the matter. Identity documents, student lists and complete personal records are generally unnecessary for an initial enquiry.
  • Activity information: if a particular activity requires registration details, submissions or participant information, its responsible organiser should provide a separate notice before collection, explaining the handler, fields, purposes, methods, retention and rights channels, and obtain any consent required by law.

3. Cookies, local preferences and sharing

Necessary cookies may support language preferences, staff administration sign-in and security. Article text size and saved resource identifiers are stored in the current browser. They do not create a public member account or automatically synchronise across devices. Selecting saved resources sends the relevant identifiers to the website so it can return those results.

You can delete cookies and site storage in your browser. Doing so clears the corresponding preferences and locally saved resources; disabling storage may affect these functions. Article-sharing QR codes are generated locally in the browser. Copying a link or using system sharing is initiated by you, and the receiving application handles the material you choose to share under its own rules.

Reading and accessibility preferences, including text size, contrast, spacing, link display and reduced motion, likewise remain in this browser and can be reset in settings. Read-aloud starts only when requested. If you choose the institutional online voice, the website backend sends segments of the current published article to the university AISLI speech service and returns the generated audio for playback. Private browser input, drafts and microphone recordings are not submitted. Requests pass through the website backend, which does not directly forward the visitor’s browser identifier or IP address to the speech service. Audio of public articles is cached by content with a seven-day validity period and is cleaned up according to capacity and maintenance cycles. The on-device option selects a matching local voice and does not send the article to the site’s online speech service. Availability depends on the device and browser.

4. Retention and deletion

  • Browser preferences: retained until you delete site data, remove saved items or change preferences. Your browser may also clear them under its own rules.
  • Operational and security records: retained for applicable statutory periods. Relevant network logs subject to a legal minimum of six months are retained accordingly. When the legal period has expired and retention is no longer necessary, records are deleted or anonymised as required.
  • Correspondence and case materials: retained only for the period needed to respond, investigate, handle the matter and meet necessary legal obligations. Activity-specific retention is explained in the relevant notice.

Information is deleted or anonymised when the applicable conditions are met. Where law requires continued retention, or immediate deletion is technically difficult, processing is limited to necessary storage and security. Confirmed deletion requirements must also be applied when backups are restored.

5. Providers, external resources and security

This website does not operate a business selling personal information. University IT, email and other service providers may process information necessary to deliver their respective services. Entrusted processing, disclosure to other handlers or cross-border provision must follow applicable notice, consent and other legal requirements.

External websites and their images, videos, courses and documents are managed by their providers. Visiting or loading these resources may disclose network request information, such as an IP address, to those providers. Read their rules before submitting information. Necessary access management, authentication and security operations are used to protect the website; personal information incidents are handled, notified and reported as required by law.

6. Your rights and requests

Email unescochair.aied@bnu.edu.cn to request access, a copy, correction, completion or deletion of relevant personal information; to restrict or refuse applicable processing; to withdraw consent-based processing; or to ask for an explanation of the rules. You may use “Personal information rights request” as the subject and provide the relevant page, a description and a reply address.

Identity is verified only as necessary. The team handles requests and responds under applicable law, explaining any need for further information or any reason a request cannot be fulfilled. Do not include passwords or complete identity documents in an initial email. Withdrawal does not affect the validity of earlier processing or public browsing that does not require the information. Your rights to complain to a competent authority or seek other lawful remedies remain available.

7. Children and young people

Young people should use the website with appropriate guardian guidance. Children under 14 do not need to provide personal information for public browsing and should not independently send identity documents, contact details or registration materials. An activity that needs children’s information must first provide a specific notice and obtain the required guardian consent. See the Children’s Personal Information Protection Rules.

8. Updates and contact

Updates and their dates are published on this page. Material changes to processing purposes, methods or information types require notice before implementation and renewed consent where law requires it. Use Contact Us for privacy enquiries or suggestions.
